If you are planning an event and need catering, then there are a few important things to consider before jumping into the huge amount of organizing needed.
Guest numbers
You should already have a rough idea of numbers as these will almost certainly be dictated by your budget. So, if you have already chosen between a more expensive catered meal for a smaller number of guests, it makes sense to eliminate bigger (and therefore more expensive) venues from your list. Conversely, if you want as many guests as possible and your catering is buffet style, you will know that you will need a bigger venue for everyone’s comfort on the day.
Location
Once your date is booked at your ceremony venue, you have a fixed geographical point for the event. Research carefully all possible venues that are in a fairly local vicinity to this and hopefully fairly central for you and your guests. You can then eliminate or move further afield based on how the hire costs compare with your budget, before moving into making a choice, where you consider the location alongside the cost factor. Remember that the right location can save your guests expenditure in respect of taxis or parking, particularly if the two venues are within walking distance. Additionally, if you want your guests to have a drink and a good time, consider that a venue which is closer to taxis, stations etc will help your revellers to return home safely and with minimal expense. A country hotel is a lovely venue but guests may not be happy to pay for long taxi rides to get back home so ensure there is parking space for all and try not to recommend taxis etc.
The catering package
If you know what you want, then discuss a full package arrangement. It’s important that the venue is both located somewhere convenient for you to set up on the night before or day itself, and has the amenities you need. For example, if you want to have a buffet, the venue will need to include access to a kitchen area for the unwrapping and food preparation. If you are looking for venues that include a catered package, you should base your decision on factors such as relative cost, menu choice etc.
